Service Division Manager

Service Division Manager Job Description

1. INTRODUCTION

This Job Description documents the authority, responsibilities, duties and performance standards of the Service Division Manager for Pro-Comm, Inc.

2. REPORTING RELATIONSHIPS

1. The Service Division Manager reports to the Operations Manager.
2. All Journeyman and Apprentice Service Techs report to the Service Division Manager.
3. Service Coordinator (dispatcher) report to the Ser vice Division Manager.

3. REQUIREMENTS

1. Education: A High School diploma or G.E.D.
2. Licensing: Valid Washington State Driver’s License.
3. Experience: Requires at least five years of Journeyman-level low voltage electrical experience and threeyears of supervisory experience.
4. Skills: Must have a thorough understanding of security and fire systems, A/V and other low voltage systems, wiring methods, techniques and costs. Must be computer literate, very organized and have good math skills. Must be able to read and interpret plans and specs, as well as operations and financial statements. Must be able to research products and make best choice solutions for customers. Sales skills for presenting maintenance agreements, cloud services, inspections and product replacements
5. Physical: Must be able to stand, walk, climb stairs and ladders and bend over to inspect field work and monitor quality and performance. Some of the time will be spent sitting at a desk or computer. Body movements will include turning the head and torso, reaching, grasping, bending and flexing arms, legs wrists and fingers. The body senses of sight and hearing are required for walk throughs, inspections and safety. The full power of speech is required to interact with customers and employees
6. Mental: Must be capable of directing, monitoring and controlling several activities at once. Must be able to comprehend wiring requirements and techniques and convey instructions in a clear and concise manner to the Techs who complete the work and the clients for product upgrade recommendations.

4. WORKING CONDITIONS

The Service Manager will spend some time working in an enclosed, temperature-controlled office with little noise. Other time will be spent in the field monitoring activities, addressing problems and presenting sales recommendations for the customer. Working with Techs and checking on jobs will generally require walking over varied terrain, climbing ladders and scaffolding and other potentially dangerous conditions. The conditions may be hazardous, noisy and dusty, with extreme temperatures

5. AUTHORITY

1. Hire, fire, promote, direct, supervise, discipline and evaluate the Service Techs and Dispatcher.
2. Approve all overtime and non-productive labor within budget, and approve the spending other discretionary budget funds.
3. Approve the purchase of equipment and materials needed to complete service work.
4. Take any reasonable action necessary to facilitate Service operations, so long as such action does not violate established company policy and is consistent with sound business judgment.

6. SPECIFIC JOB DUTIES

1. Overseeing answering phones/troubleshooting/make service calls andcreate work orders.
2. Assist new hires with FA1 testing materials and study info.
3. Assist in handling overflow of phone calls.
4. Request or Order parts for service, check in parts, and pull parts.
5. Compose bids for clients.
6. Overseeing Redmond operational permits, completion & compliance.
7. Oversee Site inspection with UL Inspector Annually.
8. Manage help and perform overflow light install on occasion.
9. Manage help performing service calls.
10. Tech Support.
11. Alarm net setups/configurations.
12. Work on printers, computers, and phones.
13. Oversee UL certifications.
14. Make calls to customers and contractors.
15. Visit job sites as they are near completion to build end-user client relationships and facilitate ongoing maintenance sales and service.
16. Help install crews close out jobs quickly and professionally.
17. Perform customer explains and tra in lead installers at the same.
18. Provide training on-going video clips and quick guides to customers.
19. Maintaining both in office at desk as well as primarily mobile office with laptop, hot spot, smart phones, etc. Be available for office to hand off technical calls from customers, AHJs, and employee’s management.
20. As needed training techs in proper paperwork, timecard completion,change orders, etc.
21. Maintain and organize central station monitoring call routing phone numbers and communicate them to the team.

7. DUTIES AND RESPONSIBILITIES

1. Ensure that safety equipment is used, safety meetings are held and all field work is done safely.
2. Closely monitor field workloads and scheduling, and find productive, flexible work to ensure labor productivity rates meet established goals.
3. Increase or decrease staffing levels to complete anticipated work.
4. Monitor daily field reports for all non-productive labor and Quality Control.
5. Ensure that dispatch matches tech skill sets with jobs.
6. Verify the need and approve all overtime.
7. Ensure that service billing is done daily and all charges are billed.
8. Verify he need and approve all overtime./p>
9. Assist Techs in meeting their annual Continuing Education Unit requirements.
10. Establish Apprentice Training programs and/or guidelines, and track individual progress.
11. Ensure that company trucks and equipment are tracked, secure and maintained.
12. Meet with operations manager as needed to review division progress.
13. Use performance logs and conduct Evaluations as scheduled.
14. Ensure that any employee disciplinary actions and terminations are documented and follow company policy.
15. Train a back up to fulfill the duties of the position in the event of absence.
16. Stay abreast of any code requirements, industry or economic trends or competitive changes that may affect the company of the Service Departments.
17. Perform any other duties assigned by the Operations Manager.

8. STANDARDS OF PERFORMANCE

1. The number of Service Department on-the-job injuries.
2. The level of division Labor Productivity.
3. The level of division Gross Profit.
4. The level of division revenue goal achievement.
5. The division is sufficiently staffed to handle the workload.
6. Non-productive labor and discretionary costs are within budget.
7. The condition and level of maintenance of company trucks, tools and equipment.
8. Field paperwork is completed and turned in on time./p>
9. Performance Logs are used and Evaluations are conducted on schedule.
10. Technicians are logging at or near 40 hour weeks.
